Paying with a Gift Card or Credit Note

Accept a gift card or credit note as payment at checkout, including partial redemption when the card balance does not cover the full amount.

Gift cards and credit notes are redeemed through a dedicated code-entry screen that looks up the balance in real time and applies only what is needed. If the card covers less than the remaining amount due, the cashier can continue and register a second payment method for the rest.

The gift card tile only appears in the payment dialog if your tenant has a payment method named GiftCard configured. Contact your system administrator if you expect to see it but do not.

Opening the gift card screen

  1. Build the cart and tap Pay at the bottom of the cart panel.
  2. In the payment dialog, tap the Gift card / Credit note tile.
  3. The gift card payment screen opens.

Looking up the card balance

  1. Enter the gift card or credit note code in the code field, or scan it with the barcode scanner.
  2. Tap Check Balance.
  3. The app queries the back-end and shows one of the following results:

The card info card shows:

The Will be charged and Remaining on card after rows only appear when the payment dialog was opened for a specific cart. If the screen is used as a standalone balance-lookup tool (no active cart), these rows are not shown.

Applying the gift card

Once the balance is displayed, the apply button appears at the bottom of the screen. The button label and colour indicate whether the card covers the full amount due:

Tap the button to apply the gift card.

On success, the gift card screen closes and a Gift card applied notification is shown. The cart refreshes and the gift card amount is recorded as a payment.

Partial redemption — when the card does not cover the full amount

If the card balance is less than the cart total, the app applies the full card balance and the cart shows a remaining unpaid amount. The Pay button turns orange, indicating that further payment is outstanding.

Register a second payment using any available method:

  1. Tap Pay again.
  2. Select a payment method for the remainder (card terminal, cash, or another gift card).
  3. Complete that payment normally.

Partial redemption — when the card balance exceeds the remaining amount

If the card balance is greater than what is owed, the app charges only the exact remaining amount. The surplus stays on the card — the customer keeps their remaining balance.

The Will be charged row on the card info screen always shows the lower of the two values (card balance or remaining amount due), so the cashier can confirm the correct amount before tapping the button.

Credit notes

Credit notes are issued when a customer returns goods and chooses store credit instead of a cash refund. They are redeemed in exactly the same way as gift cards — enter the code, check the balance, and tap the apply button. The card type label on the info card will read Credit note instead of Gift card.

Removing an applied gift card

If the cashier needs to cancel an applied gift card before the order is created:

  1. Tap Pay to open the payment dialog.
  2. Switch to the Payments tab.
  3. Tap the gift card payment entry and select Remove.

The gift card balance is restored and the cart returns to its previous payment state.

Once the order is created, the gift card payment cannot be removed from this screen. Use the order return or refund flow if you need to void the transaction after the order is confirmed.
