Updating Stock

Submit a finished count to adjust system stock levels, or update a single product's quantity directly without creating a count.

Once all products in a count have been counted, submitting it writes the counted quantities back to the system and adjusts stock levels accordingly. The app shows a summary of what will change before you confirm, so you can verify the numbers are correct.

The app also provides a quick Update Quantity option on the Inventory Counts list for adjusting a single product's stock outside of a full count.

Submitting a count — Update Stock

Updating stock is permanent. The system inventory is overwritten with the counted quantities and this action cannot be undone from within the app.

Opening the confirmation dialog

  1. Open the count detail page.
  2. In the action button row at the bottom, tap Update Stock (green button with a tick icon).
  3. The Update Stock confirmation dialog opens.

On narrow screens the button label shortens to Update. The action is the same.

Reading the confirmation dialog

The dialog shows a warning message followed by a summary of the changes that will be applied:

This will update the system inventory based on the counted quantities. This action cannot be undone.

The summary card lists:

RowColourDescription
Items to updateBoldNumber of counted items whose system quantities will be updated
Already updatedGreyItems updated in a previous submission of this count — not included again
Not counted (skipped)OrangeItems in the count that were not counted — these are skipped
IncreasesGreenItems where the counted quantity is higher than the current system quantity
DecreasesRedItems where the counted quantity is lower than the current system quantity
No changeGreyItems where the counted quantity matches the system quantity
Net changeGreen / RedTotal net quantity change across all items being updated

Below the summary, a scrollable Changes list shows each product that will have its quantity adjusted, with its current quantity, new quantity, and the difference (+/-).

Confirming the update

  • Tap Update Stock (green) to confirm and apply all changes. The button is disabled and labelled Nothing to update if there are no counted items pending.
  • Tap Cancel to close the dialog without making any changes.

On success, a Stock updated successfully confirmation appears and the count detail page reloads. If the update fails, an error message is shown and no stock is changed.

Items skipped during update

Only items that have been counted (marked as counted) and not yet updated to the system are included in the update. Items that were never counted remain unchanged in the system.

Quick stock update — Update Quantity

The Update Quantity option lets you set a product's stock level directly without creating or opening a count. Use this for quick corrections to a single SKU.

  1. Navigate to Fulfilment → Inventory Counts.
  2. Tap the overflow menu (⋮) in the top-right corner of the Inventory Counts page.
  3. Tap Update Quantity.
  4. The product picker opens. Search for and select the product you want to update.
  5. The Update Inventory dialog opens.

Updating by barcode scan

On the Inventory Counts list page (not inside a count), scan a product barcode with a hardware scanner. The app looks up the product and opens the Update Inventory dialog directly.
