Deliveries
View incoming deliveries linked to purchase orders.
A delivery represents a physical shipment of goods from a supplier (or source warehouse) to your store, linked to a specific purchase order. One purchase order can have multiple deliveries — for example, if a supplier ships items in batches, or if different line items arrive at different times.
Deliveries are managed from within a purchase order. You view existing deliveries on the Deliveries tab, and you create new ones from the Order Lines tab by selecting lines and tapping Create Delivery.
Viewing deliveries on a purchase order
- Open a purchase order from the Purchase Orders Overview.
- Tap the Deliveries tab at the top of the order lines section. The tab label shows the current count, for example Deliveries (2).
Each delivery is shown as a card.
What each delivery card shows
| Field | Description |
|---|---|
| Delivery ID | The delivery reference, shown as Delivery #ID |
| Status | The current delivery status, shown as a badge |
| Warehouse route | The source (supplier name or source warehouse) and destination warehouse, displayed as Source → Destination |
| Created date | When the delivery record was created |
| ETA | The estimated time of arrival, if one was set |
| Tracking number | The carrier tracking reference, if one was set |
Tap any delivery card to open the Delivery Detail view.
Empty state
If no deliveries have been created for the purchase order yet, the Deliveries tab shows a "No deliveries" message with a truck icon.
Creating a delivery
Deliveries are created from the Order Lines tab by selecting the lines you want to include.
- Open the purchase order and ensure you are on the Order Lines tab.
- Tap one or more line item cards to select them — a checkbox appears ticked on each selected line.
- A selection bar appears at the bottom of the screen. Tap Create Delivery.
- The Create Delivery sheet opens.
In the Create Delivery sheet
The sheet contains three sections:
Delivery Mode
Choose how the selected lines should be handled:
| Option | When to use |
|---|---|
| Create new delivery | Start a new delivery record for these lines (default) |
| Add to existing | Add the lines to a delivery that already exists on this PO. This option is greyed out if no deliveries exist yet. |
If you select Add to existing, a Select Delivery dropdown appears — choose the delivery you want to add the lines to.
Estimated Time of Arrival
Tap the date field to open a date picker and set the expected arrival date. The field shows "Not set" until a date is chosen. Tap the × beside the date to clear it.
Line Items
Each selected line appears with its product name, SKU, and a Qty field. The quantity is pre-filled with the remaining undelivered quantity (ordered quantity minus any already-delivered quantity). Adjust the Qty for each line if only a partial shipment is expected. Lines with a quantity of 0 are excluded from the delivery.
The label Max: N beneath each line shows the maximum quantity you can include.
- Review and adjust the quantities.
- Tap Create Delivery (or Add to Delivery if adding to an existing one).
The delivery appears on the Deliveries tab and the purchase order reloads to reflect the updated delivery count.
If a delivery already exists on the purchase order, you can add more lines to it by selecting Add to existing in the Delivery Mode section and choosing the relevant delivery from the dropdown.
Adding lines to an existing delivery
If you need to add further lines to a delivery that has already been created:
- On the Order Lines tab, select the lines you want to add.
- Tap Create Delivery in the selection bar.
- In the sheet, tap Add to existing under Delivery Mode.
- Choose the target delivery from the Select Delivery dropdown.
- Adjust quantities if needed, then tap Add to Delivery.
