Managing Rental Projects

Track the rental period, withhold part of the deposit, and process the return of a rented product.

Once a rental has been added to a cart and the sale completes, the rental lives on as a Project of the rental type. The Projects section is where staff track the rental period and the deposit per product, adjust how much of the deposit is withheld, and move the rental through to its return.

Prerequisites

The Projects tab only appears if Projects is enabled for your tenant and you have permission to view it. Ask your administrator if you can't see Projects in the navigation.

Finding a rental project

  1. Tap Projects in the main navigation.
  2. Open the project linked to the rental — rental projects are shown with a Rental badge.

Rental projects show two tabs at the top of the detail page:

Rental info

The Rental info card summarises the whole rental:

Rental products and deposits

The Rental products card lists every rented product on this project. Each entry shows:

  • Product name and SKU
  • Rental from / Rental to for that product
  • Daily rate
  • A Withheld deposit field

Editing the withheld deposit

The Withheld deposit field lets you record how much of a product's deposit to keep back — for example, to cover damage or missing accessories found when the item is returned.

  1. Tap the Withheld deposit field for the product.
  2. Enter an amount. It is automatically clamped between 0 and the product's total deposit amount — you can't withhold more than was taken as deposit.
  3. The full deposit amount is shown alongside the field for reference (e.g. 0.00 / 250.00).

If a product has no deposit configured, the field is shown as read-only instead of editable.

The linked order

Rental projects carry a single linked order — all rented products on the project come from the same sale. The Order card shows the order ID and an Open order button that opens the full order detail page.

Processing the return

The return is just another step in the project's workflow — the one carrying the deposit-refund action. Set the withheld amounts first, since they are only picked up when you advance into that step:

  1. On the Rental tab, set the Withheld deposit for each product being returned (leave at 0 for a full refund).
  2. Optionally add a comment in the next-step card.
  3. Tap the button for the return/next step and confirm in the preview dialog.

Advancing into the return step refunds each product's deposit minus whatever you've withheld on the Rental tab. Double-check the withheld amounts before confirming — this is the point at which the deposit is actually settled.
