Lock Screen and PIN

Use the lock screen and per-employee PINs to switch users quickly without fully signing out.

When multi-user mode is active, the lock screen replaces the normal app interface whenever the device is idle or an employee taps Lock Now. Staff enter their PIN or tap their name on a grid to take over the session. This page covers the two lock screen modes, how to unlock, how the inactivity timer works, and how to sign out completely.

Multi-user mode must be enabled and at least one employee must be configured before the lock screen appears. See Multi-User Mode and Managing Employees.

The two lock screen modes

The lock screen has two display modes. Administrators choose the mode in Settings → Multi-User → Multi-User Settings under the Lock Screen Mode heading.

PIN OnlyA single PIN field is shown. The employee types their unique PIN and taps OK. No name selection is required — the app identifies the employee from the PIN.
User SelectA grid of employee cards is shown. The employee taps their card, then enters their PIN if one is set for their account. Employees without a PIN are signed in immediately.

In PIN Only mode, a Select Employee button also appears if some employees do not have a PIN. Tapping it switches temporarily to the employee grid so those staff can still sign in.

Unlocking in PIN Only mode

  1. The PIN field is focused automatically when the lock screen opens.
  2. Type your numeric PIN. The characters are hidden as you type.
  3. Tap OK (or wait for the PIN to be submitted automatically if auto-submit is enabled — see below).
  4. If the PIN is correct, the lock screen closes and the app resumes under your account.
  5. If the PIN is incorrect, the message Invalid PIN. Please try again. appears in red. The field is cleared — type your PIN again.

Unlocking in User Select mode

  1. Tap your employee card on the grid.
  2. If your account has no PIN, you are signed in immediately.
  3. If your account has a PIN, a dialog opens showing your name and avatar with the prompt Enter PIN for this employee. Enter your PIN and tap OK (or Cancel to return to the grid without signing in).
  4. An incorrect PIN shows Invalid PIN. Please try again. The PIN field is cleared so you can try again.

Locking the screen manually

Any employee can lock the screen at any time:

  1. Open Settings (tap the gear icon in the sidebar).
  2. In the Multi-User section, tap Lock Now — subtitle reads Switch to another employee.

The app locks immediately and the lock screen appears.

Inactivity auto-lock

The device can lock automatically when no interaction is detected. By default, the screen locks after 2 minutes of inactivity.

To adjust the timeout:

  1. Open Settings → Multi-User → Multi-User Settings (admin only).
  2. Under Inactivity Timeout, check the Auto-lock switch.
    • Subtitle reads Screen locks after inactivity when enabled.
    • Subtitle reads Screen will not lock automatically when disabled.
  3. When enabled, enter a number in the input field and choose sec or min from the toggle on the right.

The inactivity timer resets whenever staff tap or interact with the app. Only sustained periods of no interaction trigger the lock.

Auto-submit PIN

When auto-submit is enabled, the PIN is submitted automatically as soon as the configured number of digits is entered — no need to tap OK. This speeds up switching in high-traffic environments.

To configure auto-submit:

  1. Open Settings → Multi-User → Multi-User Settings (admin only).
  2. Under Auto-submit PIN, turn on the Auto-submit PIN switch.
    • Subtitle reads PIN is submitted automatically when the configured length is reached.
  3. In the PIN length field that appears, enter the number of digits that triggers auto-submission.

The auto-submit length should match the PIN length set for your employees. If an employee's PIN is shorter or longer than the configured length, auto-submit will not fire at the right moment.

Signing out completely

Signing out ends the Omnium session for all employees on the device and returns to the login screen. This is different from locking — a locked screen keeps the session active.

  1. On the lock screen, tap Sign Out.
  2. A confirmation dialog appears:
    • Title: Sign Out
    • Message: Are you sure you want to sign out completely?
    • Cancel — dismisses without changes.
    • Sign Out — ends the session and returns to the login screen.

Signing out clears the active session for the whole device. All employees will need to re-authenticate via the Omnium login before the app can be used again.

Current employee in Settings

The Multi-User section of Settings shows a read-only Current Employee tile displaying the name of whoever is currently signed in. This tile has no action — it is informational only.
